Successful communication with customers and prospects is all about speaking to them about the right thing, at the right time via a medium that suits the recipient.
InContext has been developed to ensure that you do just that.
Designed to enable relatively small volumes of mail to be despatched frequently but cost effectively, our InContext software is adapted to suit your business needs.
Data can be supplied from a number of different sources via different methods. It is then aggregated and passed through the InContext SQL engine to apply business rules and validation checks to each record.
These rules cover issues as diverse as checks for address validity and salacious words or phrases within the record to whether a campaign was active and the written message that the recipient should receive. Records are grouped by common denominator (e.g. stock type, enclosing pack formats etc.) and submitted for printing.
Exception reports are provided and despatched to pre-defined recipients, production control forms and pick and pack reports are generated and forwarded to the relevant production personnel.
At each stage of the project, reports are validated and checked by the production personnel responsible and our team of roving Quality Control Supervisors. The client and other designated users can access the system at any time via a web link to update tables and matrices or to generate real-time reports.
The following schematic illustrates how a similar model can be applied.
Case Study
DPS undertake this form of regular contracted fulfilment work for a number of clients across the telecomms and utilities sectors. The model suits any sector which needs to regularly communicate in a highly specific way with its customer base, including financial services, motor manufacturing, retail and leisure. The scope of each project varies but a typical example would be as follows:
Client A provides up to 38 different sets of data, coded at either file or record level. DPS' software downloads and interrogates each dataset and record to ensure that it is coded to receive the correct letter text and mailing pack. The range of packs sent includes information packs, welcome packs, cross-sell offers and accounts administration through to "7-day letters" advising of court proceedings for non-payment. Our Service Level Agreement defines despatch of mailing packs on the same working day as receipt of the data.
Clearly there is a significant degree of additional complexity attached to this fulfilment project which illustrates that InContext has substance to it. If you'd like to learn more about how it could impact your business, please contact us to arrange a meeting.
